Privacy Policy

LeakClock ("we", "us") provides refrigerant-compliance record-keeping software for HVAC-R businesses. This policy explains what we collect, why, and your choices. LeakClock is a record-keeping tool, not legal or compliance advice, and is not affiliated with the U.S. EPA.

Information we collect

• Account information — your name, email, business name, and address when you sign up.
• Compliance records — the appliance, refrigerant, service, weigh-in, leak-rate, repair, and inspection data you enter to meet your recordkeeping obligations.
• Device tokens — a credential that links a technician's phone to your business account (stored only as a one-way hash on our servers).
• Camera — the mobile app uses your device camera to scan QR asset tags and read appliance nameplates. This happens on the device; photos are not uploaded to us.
• Payment information — subscriptions are processed by Stripe. We do not receive or store your card number.
• Diagnostics — basic, non-identifying usage and error data to keep the service reliable.

How we use information

• To provide the service — calculate leak rates, track deadlines, generate audit records, and sync between the field app and your office.
• To process your subscription and provide support.
• To secure the service and prevent abuse.

We do not sell your data or use it for advertising.

How we store and protect it

Your compliance records are stored as an append-only, tamper-evident log and transmitted over encrypted connections (HTTPS). Because these records exist to satisfy regulatory retention requirements (generally at least three years), they are retained for as long as your account is active and as needed to meet those obligations.

Sharing

We share data only with service providers that help us run LeakClock (for example, cloud hosting and Stripe for payments), and only as needed to provide the service, or where required by law. These providers are bound to protect your data.

Your choices

• Access & export — you can export your records at any time.
• Correction & deletion — you can request correction or deletion of your account data. Note that regulatory records may need to be retained to meet compliance obligations, and append-only records are preserved for audit integrity.
• Cancel — you can cancel your subscription at any time.

Children

LeakClock is a business tool and is not directed to children under 13.

Changes

We may update this policy; we will post the new effective date here and, for material changes, notify you.
